Terms & Conditions

These terms govern your use of TaxChad ("Service"), operated by PowerStone Accountants Ltd, 15 Westbury Court Road, Bristol BS9 3BU ("we", "us"). By creating an account you agree to these terms.

1. The Service

TaxChad provides cloud bookkeeping, invoicing, VAT and related accounting tools for UK small businesses and their accountants. Certain features (for example VAT submissions and Companies House lookups) rely on third-party APIs and are subject to their availability and terms.

2. Accounts

You must provide accurate registration information and keep your credentials secure. You are responsible for all activity under your account. You must be at least 18 and authorised to bind the business you represent.

3. Subscriptions & fees

Paid plans are billed in advance via Stripe on a recurring basis until cancelled. Fees are non-refundable except where required by law. We may change pricing on notice; changes take effect at the next renewal.

4. Your data

You retain ownership of the data you upload. You grant us a limited licence to host and process it solely to provide the Service. Our handling of personal data is described in the Privacy Policy.

5. Acceptable use

You must not use the Service unlawfully, upload malicious code, attempt to breach security, scrape or reverse engineer the Service, or use it to submit false information to HMRC or Companies House.

6. Companies House data

Company information is retrieved from the Companies House public register and is provided as-is. We do not warrant its accuracy or completeness. You must comply with the Companies House terms of use when relying on that data.

7. Professional responsibility

Except where you have separately engaged PowerStone Accountants Ltd under a signed engagement letter for accountancy services, the Service is a software tool and does not constitute regulated tax, accounting or legal advice. You remain responsible for the accuracy of returns and filings you make.

8. Availability

We aim to keep the Service available but do not guarantee uninterrupted access. We may suspend the Service for maintenance, security or legal reasons.

9. Liability

To the maximum extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, revenue, goodwill or data. Our total aggregate liability in any 12-month period is limited to the fees paid by you for the Service in that period. Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.

10. Cancellation, data access and retention

10.1 You may cancel your subscription at any time via your account settings. Cancellation takes effect at the end of your then-current billing period. Fees already paid are non-refundable except to the extent required by law.

10.2 Access after termination. When your subscription ends, your access to TaxChad ends. We do not provide read-only access after termination.

10.3 We do not delete your data. Termination does not delete your records. You can request a copy of your data at any time, before or after termination, by emailing privacy@taxchad.com. We will respond within one month.

10.4 Your records are yours. UK companies are generally required to keep accounting records for at least six years for tax purposes. We do not delete your records automatically, so that you can continue to meet that obligation. You can ask us to delete them at any time — see our Privacy Notice.

10.5 Accountant hand-over. If a PowerStone accountant acted for you under Review & File, on cancellation we will provide a hand-over pack including your most recent filed returns, trial balance, journals and supporting schedules at no additional charge, and will respond to any professional clearance request from your incoming accountant in the normal way.

10.6 We may suspend or terminate accounts that breach these terms.

11. Changes to these terms

We may update these terms from time to time. Material changes will be notified in-app or by email and take effect on the date stated in the notice.

12. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any disputes.
